The City of Garden City is accepting applications for Administrative Assistant with the Wastewater Department. This position is responsible for providing administration, clerical and communication support for the Wastewater Treatment Plant and Sewer Maintenance, including answering multi-phone lines, FAX and two-way radio, filing, data entry, record keeping, preparing reports, accounting, billing, computer systems, purchasing and inventory.
Education, Certification and Experience: High School diploma or GED. Business or vocational secretarial work course completed; and two years of increasingly responsible secretarial work in an office working for an executive office. One year experience with data entry, accounting, assist with payroll, record keeping, computer systems, purchasing and inventory. Clerical and communication support. Valid Kansas driver’s license required. Must obtain a Kansas Driver’s License within 60 days of establishing residency.Environment: Work is performed in a controlled environment. All work is performed in an office with heat and air conditioning.
Physical Characteristics: Repetitive motions (computer, calculator), writing, filing, bending, sitting, walking, stooping, climbing, carrying, loading, unloading, pushing, pulling, cleaning, sorting, counting, stocking, driving and sweeping. Ability to lift up to 25 pounds and lifting and carrying up to 10 pounds
- Maintains records for sewer taps, vehicle mileage and maintenance, purchase orders, trouble calls, and inventory of trucks, shop and office.
- Answers telephone and refers calls to proper source; answers two-way radio and logs activity information. Handles complaint calls from public and business community for building locations; maintains all customer inquiries and requests for service.
- Maintains archives for department’s files and records.
- Computes time worked, vacation, sick leave, etc., on time cards for departments’ personnel for submission to payroll; prepares weekly availability roster and distributes to safety departments.
- Prepares all purchase orders for the department and submits to accounts payable; enters all data into computer files and compiles monthly reports for both Superintendent and Utility Director.
- Communicates well with crew and LEC on SCADA data information.
- Prepares invoices for billing and compiles reports.
- Prepares invoices for billing loads for disposal delivered to the treatment plant, billing sewer surcharge.
- Purchases all office and cleaning supplies for department, parts/materials as needed.
- Records minutes of safety meetings and maintains department safety records.
- Works with accounts payables/receivables.
