What are the responsibilities and job description for the City Services Receptionist position at City of Richfield, MN?

The City Services Receptionist provides essential customer support at the main information desk at the Municipal Center and assists the Motor Vehicle Office with clerical support.

HOURS
19 hours per week (2.5 days per week; 8:00 AM – 4:30 PM)


ESSENTIAL DUTIES

  • Acts as first point of contact for all Municipal Center guests and visitors, by phone and in person by providing information, directions, responses and/or referrals. This includes notifying appropriate staff of visitors, ensuring they are directed to the right office/meeting room, and performing special tasks as needed or requested.
  • Verifies customer transactions relating to driver’s licenses, motor vehicle transactions, and passport applications.
  • Stays informed on all relevant City information and responds to questions.
  • Answers the phone and directs phone calls appropriately. 
  • Receives water utility payments and confirms billing information.
  • Processes the City’s daily mail as needed. 
  • Performs arithmetic computations and procedural review of transactions.
  • Reserves meeting rooms for internal staff. 
  • Sorts and categorizes items by alpha, numeric, geographic or other designation and files items.
  • Assists in the maintenance of various records by performing simple checking and filing.
  • Discusses and creates, with direction from supervisor, any needed policies and procedures for front desk area and lobby.
  • Ensures work area is stocked and supplies are ordered as needed.
  • Acts as a resource to other staff and fills in when necessary.
  • Participates in efforts to ensure Richfield is an equitable, inclusive and respectful organization and supports the City’s mission, vision and core values.
  • Performs all other related duties as requested or assigned.

  • Knowledge of multiline phone system.
  • Knowledge of basic computer skills.
  • Knowledge of operating a postage machine.
  • Demonstrated customer service skills.
  • Ability to courteously and effectively deal with the public.
  • Ability to establish and maintain cooperative and effective working relationships with others.
  • Ability to perform under stress.
  • Ability to communicate effectively, both orally and in writing, and write legibly.
  • Ability to multi-task and adjust priorities quickly as circumstances dictate.
  • Ability to operate a cash drawer.
  • Ability to operate 10-key adding machine.
  • Ability to make accurate arithmetic computations.
  • Demonstrates ability to understand and respect the diversity of customers and co-workers, effectively communicating with individuals whose first language may be one other than English.

 

MINIMUM QUALIFICATIONS

  • High School Diploma or General Education Development Certificate (GED).
  • Minimum one year of customer service or clerical experience.  

PREFERRED QUALIFICATIONS

  • Two or more years of customer service experience, with preference to direct, face to face interactions
  • Previous Information/Front Desk experience
  • Motor Vehicle licensing experience
  • Cash handling and credit card transaction experience
  • Multi-line telephone system experience
  • Postage machine operations experience
  • Fluently speaks Spanish, or other language that is prevalent in the City of Richfield.
  • Experience working with diverse populations using cultural sensitivity.

PHYSICAL DEMANDS

The physical demands that are described herein are representative of those that must be met by an employee to successfully perform the essential functions of the job.  

 

Must have the ability to: 

  • Ability to sit, talk, and listen for extended periods of time.   The person in this position constantly communicates with members of the public and must be able to exchange accurate information in these situations. Ability to bend, stoop, reach, manipulate doors, drawers, and locks. 
  • Specific vision abilities required include close vision, distant vision, peripheral vision, and the ability to adjust focus. 
  • Ability to manipulate a keyboard.
  • Ability to occasionally lift and/or move up to 25 pounds.
