Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support to ensure efficient operation of the office. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving.
Duties
- Receive and route visitors and inquiries and issues to the appropriate staff.
- Use Microsoft Office, including Word and Excel, to prepare reports and correspondence as needed.
- Transmit correspondence and medical records via mail, email or fax.
- Perform various clerical and administrative functions, including ordering and maintaining an inventory of supplies and sorting and distribute all mail and interoffice correspondence.
- Perform bookkeeping duties, such as preparation of expense reports and maintaining petty cash and receipts
- Transmit and maintain all medical claims as required by company policies and procedures.
- Transmit and maintain all subpoenas and/or medical record requests as required by company policies and procedures.
- At some sites may be responsible for staff scheduling. Identify and proactively address potential staffing/employee issues.
- Assist the mental health director with recruiting efforts, credentialing, scheduling interviews, and processing new hire documentation.
- Use all functions and applications of EHR™ relevant to the position with no supervision.
- Use all functions and applications of Rippling™ relevant to the position with no supervision. Correct employee time punches as need.

- Utilization Management—track specialty care referrals. Process offsite referrals, appointments, patient registrations, and transport requests in accordance with company policies and procedures. Monitor and maintain relevant utilization management queue dashboards (ex. updating canceled appointments and responding to Awaiting Site Info requests).
- Prepare and maintain monthly reporting and statistical data as required by company policies and procedures and contract terms and requirements.
- Gather and maintain documentation required for all accreditation surveys.
- Proactively take action to solve problems and use objectivity and insightfulness when approaching problems, meet established goals, and take responsibility for results and outcomes.
- Fundamentally understand the organizational structure and how to appropriately access resources.

Experience
. * High School diploma or GED certificate with one (1) year clerical experience in a healthcare setting preferred. Minimum two (2) years college is preferred.
- Must have computer skills, including a working knowledge of Microsoft Word and Excel with a minimum typing speed of 45 words per minute.
- Must possess strong written communication and verbal skills, good judgment and be able to manage stressful situations.
- Must have the physical and mental capacity to perform in a fast paced and challenging environment.
