The Position: We’re looking for a AP/AR Specialist. The Accounts Payable/Accounts Receivable Specialist understands the urgency of getting the job done accurately and timely. The ideal candidate will have a solid understanding of the accounting cycle in a professional environment. An understanding of basic accounting principles is required, as well as strong computer and communication skills and a working knowledge of Excel.
Requirements:
- 4-5 years of job-related experience
- Experience with high invoice volume is required
- Accurate data entry at a high speed of rate
- Excellent communication skills required, both verbal and written
- Extremely high attention to detail
- Proficient with Excel, Word and Outlook
- Ability to carry out tasks and bring projects and assignments to closure
- Professional and mature work ethic
- Self-starter with the ability to learn new concepts quickly
Essential Duties:
- Perform full-cycle accounts payable processes – including invoice matching with purchase orders, coding, batching, data entry and processing payments
- Ensure invoices are recorded to the proper accounting periods in accordance with company policy and generally accepted accounting principles.
- Perform routine daily and monthly responsibilities
- Assigns proper GL coding of invoices and expenses
- Resolves purchase order, invoice, or payment discrepancies
- Communicate effectively with vendors and other employees to resolve payment processing issues
- Oversees the maintenance of vendor master files
- Monitors invoice progress from receipt thru approval and payment
- Assists in reconciling and administering monthly expense reports
- Some additional duties may include statement reconciliation and miscellaneous projects as assigned by management
Accounts Receivable
- Process manual credit card payments
- Release sales orders
- Apply wire and EDI payments to customer invoices
- Interact with customer care and sales reps, answering questions and providing information
- Create monthly customer statements
- Process bill only orders and apply credits
- Enter check payments into ERP system
- Prepare check deposits
- Maintain Accounts Receivable files
- Process customer credit applications
- Run Experian credit reports (as needed for vendors)
- Record receipts in spreadsheet
