Role:

The Executive Assistant is responsible for providing administrative and cross-departmental support to the human resources, business development, and executive departments of the credit union. This position provides confidential aid and functional support while coordinating complex administrative duties and restricted information. Designated liaison to the credit union's board of directors and volunteers, the executive assistant facilitates effective communication and correspondence between the executive team and board of directors.

Essential Functions & Responsibilities:

-Act as a liaison and provide administrative support to the Board of Directors; plan, organize, and coordinate logistics for monthly and special Board meetings; draft agenda; arrange needed technology and meeting space; make travel arrangements including hotel reservations; develop, compile, and distribute meeting materials package; record meeting minutes on behalf of the Board Secretary.

-Provide administrative assistance to all C-level Executives, such as writing and editing emails, drafting memos, preparing communications, and compiling reports.

-Provides confidential administrative support to the Department of Human Resources by performing recruiting, benefit, timecard management, onboarding processes. and other related functions.

-Assist the Departments of Business Development and Marketing with the coordination of special credit union events, including but not limited to, the credit union's annual meeting of the membership.

-Plan, organize, and coordinate all Executive and Management Team meetings, retreats, and events unless the event specifically falls under the responsibility of another person/position.

-Collects and prepares information for the President/CEO's use in discussions and meetings with other credit union managers, employees, and outside individuals.

-Manage and replenish office supplies and materials for the credit union's corporate office; order flowers for employees and board members for special occasions or times of hardship.

-Maintain schedule of Board and Committee terms of the office ensuring adherence to bylaw requirements.

-Maintain and organize a master file of all official board records, minutes, and documents of the Credit Union.

-Performs other job related duties as assigned.

Requirements:

Experience: Three years to five years of similar or related experience.

Education: (1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.

Interpersonal Skills: Motivating or influencing others is a material part of the job. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others. The role requires a significant level of trust or diplomacy.

Other Skills: Excellent organizational and editing skills; typing skills utilizing Word at or above the 75 percentile in speed and 90th percentile in accuracy; proficient with spreadsheets; shorthand a plus.

Job Type: Full-time

Pay: $21.45 - $32.16 per hour

Expected hours: 40 per week
