What are the responsibilities and job description for the Administrative Assistant position at Frenchman's Creek Beach & Country Club?
Function of the Position: Serves as the Administrative Assistant in the POA Office - assisting Executive Assistant, Director of POA, Director of Community Relations and Homeowners.
Essential Duties and Responsibilities include the following:
1. FRONT DESK: Assists as needed to provide backup to the front desk as described under Receptionist duties. (Daily)
2. COMMITTEE LIAISON: Clerical liaison for six (6) committees: Communications; Fitness; Golf; Golf Events; Landscape; Technology; and Tennis. Attends meetings and records minutes. (Weekly during season, slower during summer months)
3. LADIES GOLF ASSOC. Prepares for meetings and printed brochures, etc. for the Ladies Golf Association. (Seasonal, but some summer work)
4. FC LIFE: Works with editor, gathers information and prepares the monthly ClubNews newsletter. (Seasonal with a few summer mailings)
5. OVERSEES: Receptionist I and Receptionist II in the operations of the front desk: (On-going - daily)
$ answering phones
$ distributing and taking in UPS, DHL and Federal Express packages for homeowners and staff personnel
$ delivery of packages via Security to members’ homes
$ weekly mailing
$ general questions by members
$ assists in recording work orders for handyman services, housewatch, and transportation
6. WEBSITE: Maintains and updates website on POA, Hotwire, etc and prepares and sends web Blasts to members as needed. (On-going-daily)
7. FCTV: Assist with updating FCTV Bulletin Board in Keith’s absence or as needed. (Periodically, when needed)
8. WEEKLY NEWSLETTER: Responsible for the creation and mailing of the weekly newsletter. Coordinates with other departments on their flyers/ inserts. (Weekly through season with every other week during summer)
9. HOUSE WATCH Assists Kathy with House watch during summer. Physically check houses, complete report, coordinates handyman if needed and follow-up with members. Maintain files of all homeowners in program.
10. OVERALL OFFICE: Filing, organizing and maintaining cleanliness of office, etc.(On-going-daily)
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
