Overview
We are seeking a motivated and organized Assistant Project Coordinator to support the project management efforts within our contracting/home renovation company. This role requires a detail-oriented individual who can manage schedules, facilitate communication among team members, vendors and clients. The ideal candidate will possess excellent organizational and communication skills, along with a strong ability to multitask in a fast-paced environment.
Job Responsibilities:
- Coordinate and maintain the CEO's calendar by scheduling appointments and meetings.
- Organize and schedule on-site meetings with project stakeholders, including clients, subcontractors, and team members.
- Work closely with clients to create and review a comprehensive punch list that outlines all outstanding work and issues requiring resolution before project completion.
- Manage the procurement process for materials needed for ongoing projects by placing orders with suppliers and vendors.
- Serve as the primary point of communication for vendors and subcontractors, ensuring their needs are met and they are kept informed about project timelines and updates.
- Research and identify all required town permits for construction or renovation projects. Prepare and submit applications to local governments as mandated.
- Track and maintain records of client referrals, introductions, and partnerships, documenting all pertinent contact information and communication history.
- Establish and maintain a weekly communication schedule with clients, providing updates on project progress, timelines, and milestones.
Skills/Qualifications:
- A bachelor’s degree in project management, business administration, construction management, or a related field is preferred. Equivalent experience may be considered.
- Prior experience in project coordination or administrative support, particularly in construction or project management environments.
- Strong skills in meeting facilitation and team management to drive collaboration.
- Knowledge of project scheduling techniques to optimize timelines.
- Familiarity with cost control practices to manage budgets effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) for document preparation and data management.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Excellent communication skills, both written and verbal, for effective stakeholder engagement.
