Associate Project Manager

Preferred Qualifications:

• Prior experience in the fragrance industry or familiarity with fragrance development processes.
• Knowledge of ERP or CRM systems is a plus.

Position Overview:

• We are seeking a highly organized and detail-oriented Sales Coordinator to join our team at a leading fragrance house.
• This role focuses on supporting the sales team by managing projects in our internal systems, coordinating sample requests, and facilitating customer communication.
• The ideal candidate will play a key role in ensuring seamless project execution and delivering exceptional service to our clients.

Key Responsibilities:

• Enter and maintain project details in the company’s project management system, ensuring accuracy and timely updates.
• Track and monitor project progress, deadlines, and deliverables, collaborating with internal departments to ensure alignment.
• Coordinate and follow up on project-related tasks to ensure on-time completion.
• Manage sample requests, ensuring accurate preparation, packaging, and timely delivery to clients.
• Maintain inventory of samples and communicate effectively with the lab or production teams to fulfill requests.
• Serve as a primary point of contact for customer inquiries related to project timelines, sample status, and other requests.
• Proactively provide updates to clients and address any issues that may arise during the project lifecycle.
• Work closely with the sales team to support accounting activities, including preparing documentation and reports.
• Assist in organizing client meetings, presentations, and other sales-related activities.
• Ensure all relevant documentation and project information is properly filed and accessible.
• Support the team with additional administrative tasks as needed to maintain smooth operations.
