The Mailroom Coordinator plays a crucial role in ensuring efficient and timely handling of all incoming and outgoing mail for J. Fletcher Creamer & Son, Inc. This position is responsible for coordinating the receipt, sorting, and delivery of mail, and collaborating with the Admin Support team to manage various back-office support duties.
Key Responsibilities
- Mail Handling & Distribution:
- Deliver and pick up mail from the post office daily.
- Sort and distribute incoming mail by departments and employees to ensure timely delivery.
- Manage interdepartmental mail and facilitate its delivery accurately and promptly.
- Mailroom Operations:
- Operate all mailroom equipment, including postage meter machines, folding machines, sorting machines, etc.
- Replenish and maintain adequate postage on the postage meter.
- Maintain records of receipts, mailing dates, and office machine leasing agreements to ensure smooth operations.
- Schedule and coordinate with shredding company to ensure timely and secure disposal of confidential information
- Supply Management:
- Monitor and stock supplies for both office and café.
- Ensure all supplies are adequate and promptly reorder when necessary to avoid disruptions.
- Administrative Support:
- Collaborate effectively with the Admin Support team and provide support in the event of absence, heavy workload, etc.
- Assist with various back-office support duties as needed, ensuring a seamless workflow within the office.
- High school diploma or equivalent.
- 0-3 Years experience.
- Valid NJ driver's license required.
- Previous experience in a mailroom setting or similar environment is preferred.
- Strong organizational and time-management skills.
- Proficient in operating mailroom machinery and office equipment.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Detail-oriented and possess problem-solving skills.
