General Summary Of Duties
As a Reservations Coordinator, you will communicate with guests and meeting planners, developing strong relationships and creating memorable experiences for our guests. The Reservations Coordinator position is responsible for processing group reservation information including rooming lists, suites, resumes and billing requirements. This position will also answer reservation inquiries in a friendly and courteous manner and generate additional revenue by identifying upsell opportunities.

The Reservations Coordinator position is responsible for processing group reservation information including rooming lists, suites, resumes and billing requirements. This position will also answer reservation inquiries in a friendly and courteous manner and generate additional revenue by identifying upsell opportunities.
Examples of Duties (includes but is not limited to the following):
- Accurate input of reservations into reservations system in an efficient and timely manner
- Maximize potential room revenue by following specified selling guidelines
- Set up group billing
- Respond to guest communication in a timely manner
- Attend pre-conventions meetings as necessary
- Perform group room block audits upon request
- Be involved in property-wide departmental interaction and communication
- Raise the awareness of room inventory issues
- Ensure an efficient and professional working environment with open communication
- Ensure all group resumes are audited prior to group's arrival
- Attend weekly pick up meetings
- Maintain accurate files and systems for information retrieval as it relates to group bookings
- Act as the primary resource for the operational and administrative functions for group block management including building blocks, managing group inventory, billing, pre-arrival and post departure tasks as required
- Handle no-show and cancellation charges appropriately
- Provide ongoing communication between the client, hotel, and sales office ensuring all operational standards are met
- Maintain a working knowledge of the sales, front office, accounting areas
- Have a thorough understanding of the operational areas, guest patterns, demand periods and seasons
- Process all Travel Agent Commissions on a weekly basis
- Perform additional duties and projects as assigned
- Ability to speak, read, write and understand English
- Professional demeanor appropriate for a luxury environment
- Previous hotel front desk, or reservations experience preferred
- A passion for delivering great customer service
- A highly professional telephone manner and excellent communication skills
- Outstanding administration and organizational skills with strong attention to detail
- Working knowledge of office equipment, such as copiers, fax machines, and scanners
- Intermediate computer proficiency with prior data entry experience
- Must be able to multi-task and remain calm and focused in high-volume situations
- High School diploma or equivalent required; college degree strongly preferred
- Must be able to stand, walk, sit
- Must be able to bend, stoop, crouch
- Must use hands to reach, grasp, handle, pull and push
- Must have good near and far vision
