The Assistant Community Association Manager manages and maintains the Clubhouse, pools and sport courts of the Community. The position directly oversees the Administration team and the Maintenance Supervisor and assists the Community Association Manager as needed to help ensure the community meets the standards established in the associations governing documents

SUMMARY OF FUNCTIONS:
The Assistant Community Association Manager manages and maintains the Clubhouse and East Wing areas, pools and sport courts of the Community. The position directly oversees the Administration team and the Maintenance Supervisor and assists the Community Association Manager as needed to help ensure the community meets the standards established in the associations governing documents
MAJOR DUTIES AND RESPONSIBILITIES:
Personnel
- Direct oversight of Maintenance Supervisor who provides regular cleaning and maintenance to the common areas of the community as required
- Direct oversight of Administration Team which provides services such as:
1. Assisting Residents with Association Business
2. Processing Lease & Sale Applications
3. Processing of Architectural Review Requests
4. Processing Work Orders
5. Website administration
- Direct oversight of the Social Activities Personnel
Financial Management
- Coding of all invoices to the appropriate budget category
- Monthly review of Financials to ensure proper allocation of expenses
- Present written financial and delinquency reports to the Board on a regular basis and at each board meeting.
- Work directly with the Treasurer and/or Finance Committee on questions
- Provide annual draft budget to Community Association Manager for review
- Provide research and assistance to CPA providing Annual Audit
Common Areas & Maintenance
- Oversight of Vendors utilized to provide ongoing and special maintenance required for Clubhouse as well as the pools and sport courts with approval limits defined by the Board of Directors
Administration
- Reporting Sales & Use tax to the Florida Department of Revenue
- Attend and prepare the Association meeting minutes from any Board of Directors or Membership Meetings
- Coordinate Sign in for Membership Meetings and Assist Manager in facilitation of meetings
- Participate in Communications Committee Meetings for assistance and oversight of resident communications such as newsletters, email blasts, display boards etc.
- Provide weekly open and closed work order reports to the neighborhood representatives
Secondary Responsibility
Receive and welcome all residents and guest to the community by providing excellent customer service.
Assist Administrative team as backup as needed to ensure performance objectives are met
Maintain a flexible schedule being available after hours for emergencies
Serve as a backup to the Community Association Manager as required
Any additional duties assigned by the assigned Board of Director or Community Association Manager
Job Requirements
Maintain a current Florida Driver’s License & Community Association Manager License
ORGANIZATIONAL RELATIONSHIPS:
Reports directly to the Community Association Manager.
Salary : $20 - $22
