Primary Responsibilities:
This position provides administrative and programmatic support to the Director of IDD Crisis and SGF Services to ensure efficient operation of crisis and State General Fund (SGF) programs. The assistant helps maintain smooth delivery of services by assisting with staffing logistics, documentation, coordination, and communication between teams and departments.
Key Duties Include:
Assist the Director of Crisis and SGF-funded services including Community Living Supports (CLS), PASRR Specialized Services/Evaluator, and other in-home services.
• Work with staff at Western State Hospital to provide ongoing crisis services upon discharge.
• Assist with scheduling interviews, trainings, and meetings for crisis and SGF programs.
• Help manage communication between staff, contractors, and families served.
• Prepare reports, forms, and documentation as requested.
• Support the recruitment and onboarding process for in-home services personnel, including CLS and PASRR programs.
• Assist monitoring staff credentials, TB skin tests, background checks, and trainings.
• Assist in organizing and maintaining records and files (digital and paper).
• Enter and update service records in required systems (e.g., CareLogic, MWMA, KLOCS, Mains’l).
• Help with documentation compliance and audit preparation.
• Maintain spreadsheets and tracking tools for crisis and SGF programs.
• Serve as a point of contact for staff needing assistance with forms, resources, or procedural questions.
• Help coordinate staff coverage in collaboration with the Director during crises or absences.
• Assist with follow-up on service authorizations or billing issues as needed.
• Work in close coordination with Director of Crisis/SGF, Crisis, and Clinical teams to support shared goals.
• Attend staff meetings and trainings as required.
• Perform other duties as assigned by the Director of Crisis and SGF Services or VP of IDD Services.
Qualifications
• Bachelor’s degree in social work, psychology, sociology, or a related behavioral health field required.
• Minimum of two (2) years of experience working in developmental disabilities or related services.
• Supervisory experience preferred.
• Excellent communication, organizational, and leadership skills.
• Proficient in Microsoft Office and familiarity with EHR platforms.
• Must have reliable transportation, valid driver’s license, and automobile insurance.
• Must pass criminal background and Sexual Offender Registry checks.
• Must provide proof of a negative TB test within the past year.
• Possible travel within Region 2 and Region 4 counties.
