- Provide administrative support to the Coordinator of English Language Development and the Gifted and Talented Program Specialist, maintaining their calendars
- Accurately maintain budgets for ELD and GT, and manage multiple Grant funds, including Title. Prepare and process purchase orders and requests for payment. Initiate or complete requests for budget substitutions and journal entries. Monitor monthly financial reports. Serve as account coordinator for procurement cards.
- Work independently and collaboratively to plan and orchestrate special meetings, workshops and hiring/selection committees; reserve rooms, prepare and circulate agendas, complete preparation for meetings and order refreshments as needed. This includes district wide events such as, K-8 Chess Tournament, Spelling Bee, and Battle of the Books
- Serves as systems administrator for technical programs around student enrollment, demographic data, and assessments related to both GT and ELD programming.
- Payroll management including tasks such as processing stipends, inputting timesheets, and ensuring timely payment of bills for outside contractors.
- Work cooperatively with the Student Support Services Team and support staff as well as members of other teams to ensure smooth flow of work.
- Arrange conference, travel and hotel accommodations for administrators as needed.
- Receive and return phone calls and communication from parents, principals, staff and community. Serve as receptionist for the Student Support Services Team, including coordinating programs scheduling meetings and appointments and maintaining personal and district calendars with accurate information promptly
- Coordinate with other Student Support administrative assistants and team members to support large team projects and functions.
- Work with other district personnel to manage and maintain the integrity of large datasets.
- Perform other duties as assigned
- High school diploma or equivalent, plus specialized courses in business, secretarial training or related field.
- Criminal background check required for hire
- Two to five years of experience in a general secretarial position.
- Experience in an educational setting
- Experience managing a budget including Title funds
- Oral and written communication skills; English language skills.
- Interpersonal relations skills; Customer service and public relations skills; Ability to diffuse and manage volatile and stressful situations.
- Personal computer and keyboarding skills; advanced computer hardware and software skills; operating knowledge of and experience with Microsoft. Office and Google.
- Operating knowledge of and experience with general office equipment, including telephones, copier, fax machine, etc.
- Knowledge of operating, installing, supporting and maintaining PCs and associated application software preferred at hire.
