    Position

    Purpose

    Responsible for assisting and supporting the Director of Learning & Teaching, including performing administrative, receptionist, accounting and organizational tasks as needed. Represent Littleton Public Schools in a positive, professional and informative manner. Keep privileged and sensitive information in strict confidence.


    Essential

    Duties

    • Receive and return phone calls and communication from parents,

    principals, staff and community. Serve as receptionist for Learning &

    Teaching.

    • Provide support to the Director of Learning & Teaching, including maintaining their calendar.
    • Update files and documentation.
    • Type and maintain files for correspondence, memoranda, reports, agenda and budgets.
    • Process incoming and outgoing mail and electronic mail; set up video conferencing sessions.
    • Facilitate approval and distribution of information from outside agencies.
    • Serve as systems administrator for technical programs around professional development including Performance Matters.
    • Serve as systems administrator for district evaluation program, RANDA.
    • Work independently to plan and orchestrate special meetings, workshops and hiring/selection committees; reserve rooms, prepare and circulate agendas, complete preparation for meetings and order refreshments as needed.
    • Maintain budgets for the Learning & Teaching Department.
    • Prepare and process purchase orders and requests for payment.
    • Initiate or complete requests for budget substitutions and journal entries.
    • Monitor monthly financial reports.
    • Serve as account coordinator for procurement cards.
    • Work cooperatively with the Learning Support Team and support staff as well as members of other teams to ensure smooth flow of work.
    • Support department with building-based staff, including payroll functions.
    • Arrange conference, travel and hotel accommodations for the

    • Work with other district personnel to manage and maintain the integrity of large datasets
    • Perform other duties as assigned


    JOB QUALIFICATIONS

    Education/

    Certification

    • High school diploma or equivalent, plus specialized

    courses in business, secretarial training or related field.

    • Criminal background check required for hire.


    Experience

    • Two to five years of experience in a general secretarial position.
    • Experience in an educational setting

    • Customer service and public relations skills; Ability to diffuse and manage volatile and stressful situations.
    • Personal computer and keyboarding skills; Advanced computer hardware and software skills; Operating knowledge of and experience with Microsoft Office and Google.
    • Operating knowledge of and experience with general office equipment, including telephones, copier, fax machine, etc.
    • Knowledge of operating, installing, supporting and maintaining PCs and associated application software preferred at hire.
    • Critical thinking and problem solving skills.
    • Ability to maintain confidentiality in all aspects of the job.
    • Ability to manage multiple tasks with frequent interruptions; Ability to manage multiple priorities.
    • Speaks to students, parents, colleagues, and community with respect and dignity.
    • Uses team concepts to plan, problem solve, and share space, equipment, resources, and knowledge with coworkers; supports the ideas, efforts, and accomplishments of others.
