POSITION SUMMARY

Provide clerical and program support that is essential for the smooth flow of Workforce Development Division operations such as intake and incoming communications, answering questions about program functions, helping provide easy access to services, and documentation requirements. Processes new applications as received and ensures applicants receive an approval/denial response within 30-days. This position will work directly under the Workforce Development Director.


PRINCIPAL DUTIES AND RESPONSIBILITIES

1. Will be the first point of contact for the clients who walk into the Workforce Development, Employment and Training and TANF office, provide instructions for filling out the application, review their application and go over a check list of what is needed or required for the client to bring back for their appointment with the caseworker.

2. Provide necessary paperwork, offering assistance to complete the paperwork, answering questions, making copies for clients or assisting with telephone requests and ensures application is fully complete prior to giving application to Eligibility Specialist.

3. Enter intake information for TANF and Employment and Training clients.

4. Demonstrate success in multitasking, implementing and maintaining the organizations of several programs/projects.

5. Provides professional and technical assistance to the Workforce Development Director, TANF and Employment and Training Caseworkers. Duties include handling purchase and check requisitions; travel authorizations, and arrangements, assisting with setting up office visits and staff schedules.

6. Maintains program correspondence, applications and notices. Sends out notices as required by the Employment and Training and TANF programs.

7. Establishes and maintains client files according to TANF, Employment & Training, Paaraq, and Endowment procedures and guidelines.

8. Assists in the compilation of division payroll timesheets. Distributes paychecks and direct deposit paystubs to appropriate employees.

9. Understand eligibility criteria, policy and procedures guidelines, for both TANF and Employment and Training Programs.

10. Develop a knowledge base on community resources to assist clients in achieving their vocational and employment goals.

11. Agrees and ensures to keep any and all information regarding client data confidential.

12. Attends continuing education and mandatory training per grant requirements.

13. Works as an active Workforce Development team member for making improvements and provides assistance to the caseworkers.

14. Create and distribute advertisement flyers, posters and pamphlets for both TANF and Employment and Training programs.

15. Organize and assist with job fairs, student dinners, orientation for schools, workshops and other events as assigned.

16. Works closely with caseworkers to ensure all possible needs for clients are addressed.



Job Qualifications:


MINIMUM REQUIREMENTS

High school diploma or equivalent. One year relevant work experience preferred. Demonstrate ability to exercise good judgement and communication skills under stressful situations. Demonstrate excellent attendance history in previous employment. Able to learn and follow PL 102.477, Employment & Training and TANF’s regulations. Knowledge of the Maniilaq Service Area, its people, culture and traditions is strongly preferred. Have a strong knowledge base of local and outside educational and employment resources. Prior experience using computers at the beginning level for word processing and data entry. Be familiar with Microsoft software programs word, excel and outlook. Must have the ability to communicate effectively, both verbally and in writing, with people in the service area and state agencies. A valid Alaska driver’s license is preferred. Willing to travel as needed.
