JOB TITLE: Medical Scribe

FLSA Status: Non-Exempt

REPORTS TO: Physician

OVERVIEW: Works to facilitate patient flow and ensure an accurate and complete medical record for each patient. and increase the efficiency and productivity of the physician

Medical Scribes are individuals trained in medical documentation who assist a physician throughout their shift. The primary goal of a Medical Scribe is to increase efficiency and the productivity of the physician. The Medical Scribe allows the doctor to focus on what is most important, the patient.

Medical Scribes duties include performing all clerical and information technology functions for a physician in a clinic setting. This includes primary responsibility of the operation of the electronic health records. You also must be able to anticipate physician needs to facilitate the clinic flow. Medical Scribes must be discreet, tactful, and modest in performance of duties so as not to distract medical staff from patient care. Good judgment, organizational ability, initiative, attention to detail, and the ability to be self-motivated are especially important. You must be adaptable and versatile since you will be responsible for many tasks. Excellent attendance and punctuality are also important elements of this job as your role is critical.

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

  • Accompany physician into the patient examination room in order to accurately and efficiently document the medical visits and procedures as they are being performed by the physician, including but not limited to:
  • Patient medical history and physical exam
  • Procedures and treatments performed by the physician
  • Patient education and explanations of risks and benefits
  • Physician-dictated diagnoses, prescriptions and instructions for patients for self-care and follow-up
  • Assist the provider in navigating the EHR and entering information into the EHR
  • Locate information to review (i.e. previous notes, reports, test results, lab results, surgeries or procedures and referrals
  • List all proper diagnoses and symptoms as well as follow up instructions and prescriptions as dictated by the physician
  • Transcribe patient orders including lab tests, medications, procedures, etc.
  • Document any procedures performed by the physician
  • Assist with managing patient flow
  • Maintain patient records confidentially
  • Print labels for biopsies
  • Send “work flow”, patient chart notes to referring providers

ADDITIONAL RESPONSABILITIES:

  • Perform any other duties as assigned by the Lead, Office Manager or Physician
  • Assure patient satisfaction through compassion, professionalism and superior customer service
  • Collaborative team member with professional maturity, professional appearance and conduct
  • Adhere to employer work practices, exposure control plan, polices, protocols, WISHA and HIPAA, safety, attendance, punctuality and personal appearance
  • Establish and maintain effective working relationships with physicians, staff and management
  • Effectively cope with typical job stress and remain calm during stressful and busy times

QUALIFICATIONS:

Education: High School diploma or equivalent, undergraduate degree (pre-med, pre-nursing, pre-allied healthcare)

Certification/Licensure: Not required

Experience: One of the following:

  • 6 months experience as a Medical Scribe
  • 6 months related experience and/or training, or equivalent combination of education and experience.

SKILLS:

  • Medical terminology, anatomy and physiology, pharmacology and treatment assessments
  • Recognition of physical exam process and ability to record exam details
  • Computer proficiency and ability to quickly learn new applications, type 60 WPM
  • Legible handwriting and ability to accurately record information
  • Organization skills with focus on tracking patient care and improving patient flow
  • Professional demeanor and recognition of privacy considerations for patients and families
  • Ability to multi-task efficiently and effectively and shift gears quickly without getting distracted
  • Ability to communicate effectively in the English language in person, by phone and in writing
  • Requires adherence to all policies and procedures, including but not limited to standards for safety, attendance, punctuality and personal appearance
  • Excellent interpersonal skills demonstrated through clear, concise and considerate written and verbal communication
  • Sound judgement, quick learner, adaptable
  • Able to focus on details, process work accurately/timely with excellent follow-through
  • Excellent customer service skills and desire to provide high quality customer service to our patients
  • Ability to multi-task efficiently, effectively and shift gears quickly without getting flustered or distracted

PHYSICAL REQUIREMENTS:

Hearing: Adequate to perform job duties in person and over the phone

Speaking: Must be able to communicate clearly to patients in person and over the telephone

Vision: Visual acuity adequate to perform job duties, including “discreet” visual examination of patients and reading information from printed sources and computer screens.

Mathematical Skills: Ability to add, subtract, multiple, and divide in all units of measure, using whole numbers, common fractions, and decimals. Have the ability to compute ration and percent.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to apply logic and draw conclusions based on knowledge. Have the ability to refer to reference materials to solve problems.

Other: Requires occasional lifting and carrying items weighing up to 10 pounds unassisted.

Requires frequent bending, reaching, and repetitive hand movement (specifically keyboarding and writing), standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular work shift
