General Position Summary: As a Committee Support Coordinator, you are part of a team that provides centralized support to the Board and 51 committees representing the governance of the club. This position helps the Board, Committee Chairs, and Committee members document and synthesize discussions and decisions through the year adding driving progress forward through the governance system. This includes administrative support so committees can conduct their business, strategic facilitation of access to internal organizational resources, and guidance navigating the Bylaws, rules, policies, and procedure. This position helps support a team who provides optimal communication to ensure committees are in alignment with the club’s strategic plan and current business needs. Essential Job Functions/Major Responsibilities: Provide the Club with an accurate and synthesized account of the information conveyed in committee meetings. Ensure minutes are clear and comprehensive. This requires accurate spelling, grammar, and formatting, as well as the the ability to extract all relevant information from the meeting. Maintain regular contact with the Committee Support Specialist or Coordinator, from the outset of your work, if any questions or concerns arise. Complete and return minutes to specified Teams location accurately and promptly. Work in a professional, helpful, and flexible manner, always maintaining confidentiality. Engage in training relevant to the role and occasional supervision/team meetings where relevant. Secondary Functions: Ability to provide clear, succinct, and relevant written and verbal communications. Good IT skills and access to a computer. Ability to work on own initiative, independently, and to deadlines. Well organized, and reliable. Performs other tasks as assigned by supervisor. Participates in all club-related training classes. Job Scope: Job is fairly routine. Follows established practices and procedures. Duties are performed with specific directions given and work is checked or verified visually on a frequent basis. Decisions are made within specific operational instructions and departmental guidelines. Errors in judgment could affect the smooth and efficient operation of the office. Supervisory Responsibilities: N/A Interpersonal Contacts: Internal contacts frequently include the Department Manager and all department staff. Interactions tend to focus on information exchange, receiving direction, or receiving training. Contacts often include sensitive or confidential information. 95% of work duties can be accomplished remotely. Specific Job Skills: Excellent time management skills: able to prioritize multiple tasks and meet deadlines with or without established procedures and minimal supervision. Excellent listening skills and effective verbal communication. Excellent written communication with demonstrated skills of composing emails and business correspondence, editing, transcribing meeting minutes. Demonstrated accuracy and thoroughness with excellent attention to detail and prompt follow up. Ability to work independently and as part of a team. Ability to exercise good judgment and effectively use decision-making skills. Ability to adapt to changes in the work environment, manage competing demands, and flexibility to deal with unexpected events. Technology savvy, including intermediate current working knowledge of Microsoft Word, Teams, and Outlook. Ability to maintain strict confidentiality and to apply discretion and appropriate security measures in handling confidential and sensitive information. Ability to establish and maintain effective working relationships with members and staff. Ability to perform the essential job functions. Education and/or Experience: Bachelor’s degree; focus on business or communications desired or an equivalent combination of education and experience. Must have at least 2 years of relevant experience performing administrative support, or coordination. Experience supporting a board or committee preferred.
