About The Role
We are seeking a
Finance & Grants Coordinator
to support the financial operations of our nonprofit organization. This position focuses on grant accounting, third-party billing (including Medicaid and insurance), and revenue tracking. It is ideal for a detail-oriented, self-motivated professional who thrives in a collaborative, mission-driven environment.
You'll work closely with the VP of Finance and program staff to ensure accurate financial data entry, grant documentation, billing, and payroll support. This is a key role in helping maintain the financial health and compliance of our organization.
Key Responsibilities
- Record and maintain accurate financial transactions in QuickBooks Online
- Prepare and reconcile Medicaid, insurance, and private pay billing
- Track and report on multiple grants, ensuring financial and compliance accuracy
- Collect and review documentation from staff for grants and billing
- Prepare deposits and reconcile bank and general ledger accounts
- Provide backup support for payroll and time tracking system data entry
- Assist in preparing monthly internal financial reports
- Maintain well-organized digital and physical records for finance, billing, and grants
- Support audit and grantor review preparation
- Perform other finance-related administrative tasks as assigned
Qualifications
- Proficiency with QuickBooks Online and Microsoft Excel
- Familiarity with grant accounting and third-party billing (preferred)
- Strong attention to detail and time management
- Able to work independently while collaborating effectively with cross-functional teams
- Excellent organizational and communication skills
- Basic understanding of nonprofit GAAP principles
Education & Experience
- Associate's degree in Accounting, Finance, or related field; or
- 2–3 years of experience in bookkeeping, grant administration, or nonprofit revenue accounting
- Nonprofit experience is strongly preferred
Additional Requirements
- Valid Montana driver's license and insurable driving record
- Compliance with I-9 eligibility requirements
- Must be able to lift up to 15 pounds occasionally and work in a typical office setting
