General Statement Of Duties
Reporting to the Registrar and a member of the Office of the Registrar Leadership Team, the Associate Registrar will work to ensure that the delivery of existing services meets the needs of students, faculty, staff, and administration. The Associate Registrar is responsible for curriculum management and accurate updates to college systems and alignment of correct information across college publications; oversight of degree audit evaluations, degree conferrals, and transfer evaluation; the development, maintenance and assessment of records services for a diverse population; and recommendation of workflow and process improvements. The Associate Registrar is responsible for office management and oversight of staff, including training, evaluation, coaching, and professional development. This position is expected to, as the need arises, assist with operational functions of the Office of the Registrar. The Associate Registrar is responsible for departmental leadership in the absence of the Registrar.

The Associate Registrar is responsible for office management and oversight of staff, including training, evaluation, coaching, and professional development. The Associate Registrar is responsible for departmental leadership in the absence of the Registrar.
Essential Functions
- Directs Office of the Registrar staff and manages daily operations. Prioritizes and directs staff workflows to manage competing processes, tasks, and projects. In the absence of the Registrar, responsible for supervision and support of all office staff.
- Monitors departmental email accounts and responds with timeliness. Directs coverage of front-facing functions and trains staff as needed. Ensures appropriate coverage for college events.
- Develops policies and procedures in alignment with Federal laws and correct management of transcripts and records. Responsible for implementation of FERPA regulations and provision of information to students and staff.
- Responsible for requests for transcript generation and disbursement. Resolves errors with transcripts and makes appropriate adjustments to historical records. Serves as liaison to Information Systems and transcript vendor to troubleshoot technical issues.
- Supervises the transfer credit evaluation process and implements changes that will ensure the efficiency, accuracy, and equity of transfer credit evaluation.
- Supervises graduation application processing, degree audit evaluation, and degree conferral. Troubleshoots errors and ensures accuracy of eligibility for conferral of college credentials.
- Responsible for administration of transfer equivalency and degree audit tools. Responsible for updates and corrections as needed in consultation with faculty.
- Evaluates reverse transfer requests for degree eligibility. Performs transfer credit articulation, degree audit, and communicates results.
- Verifies Mass Transfer General Education Foundation course completion directly to other institutions.
- Responsible for overall maintenance of academic records. Identifies errors for resolution.
- Researches and resolves student record questions.
- Administers grade change processing. Performs grade roll processes.
- Processes Office of the Registrar forms. Assists in form development, improvement, and maintenance.
- Troubleshoots and analyzes systems. Create and run reports for the Registrar.
- Creates, reviews, and corrects reports for National Student Clearinghouse reporting. Performs error correction and ensures compliance with reporting requirements.
- Interprets and implements Curriculum Committee actions through databases such as but not limited to BANNER, Curriculum, Advising and Program Planning (CAPP), Navigate, and Program of Study.
- Responsible for maintenance of Guided Pathway accuracy in systems and publications, including implementation into BANNER, CAPP and support the maintenance of EAB Navigate.
- Leads and manages problem-solving efforts related to BANNER, CAPP, Navigate, Zogotech, and Cognos Issues and curriculum.
- Oversees, creates and manages documentation manuals for curriculum-related databases.
- Oversees and manages the accurate input and updates of the End-of-the-Year Curriculum Committee Report into college systems, including in BANNER, CAPP, and Navigate.
- Facilitates discussions regarding curriculum and academic related needs with appropriate College departments and deans across Student and Academic Success.
- Liaises with Information Systems (IS) on projects that support and maintain the curriculum.
- As necessary, makes quality improvements to function-related processes and procedures to maximize accuracy of data and to create efficiencies.
- Participates in relevant technology implementations as directed. Performs tasks to understand, support, document, test, train, troubleshoot, and encourage adoption of relevant systems. Serves as an administrator for all Office of the Registrar systems.
- Attends and participates in committees and administrative groups as assigned. Represents the Registrar as needed.
- Other duties as assigned.

Job Requirements
- Bachelor's degree with five years' experience and/or training involving college registration, academic advisement, administrative work in an academic environment, general office administration, or personal computer operations; or an equivalent combination of education, training, and experience.
- Excellent verbal and written communication skills.
- Experience hiring, training, reviewing, and supervising and motivating staff.
- Demonstrated experience with Student Informational Systems.
- Demonstrated ability to work independently for planning, execution, and completion of activities and initiatives.
- Experiences working within an institution of higher education and a demonstrated understanding of the academic function and curriculum.
- Must be able to use various electronic platforms to communicate, assist and evaluate students.
- Strong organizational and analytical skills.
- Ability to commute to any NSCC campus for working days, meetings, programs and events.
- Successful experience interacting with culturally diverse populations.
- Candidates will be required to pass a CORI/SORI and/or a National background check as a condition of employment.
- Master's degree preferred
- Knowledge of Banner preferred
- Knowledge of DegreeWorks and/or Scribe language preferred
- Strong knowledge of the community college system working with individuals of diverse backgrounds.
- Bilingual in Spanish is preferred.
