Northeast Missouri Area Agency on Aging (NEMO AAA) is a nonprofit organization dedicated to supporting older adults and helping them remain independent in their communities. Position Summary
NEMO AAA is seeking a detail-oriented and dependable Fiscal and Program Support Specialist tosupport both Medicaid program administration and daily fiscal operations. This role is ideal for someone who enjoys working with data, documentation, and financial systems while contributing to a mission-driven organization that serves older adults.
Key Responsibilities
Medicaid Program & Billing
- Enter and maintain Medicaid data for home-delivered meal recipients.
- Review, process, and distribute care plans to contracted nutrition providers.
- Process care plan updates from the Missouri Department of Health and Senior Services (DHSS).
- Maintain required Medicaid documentation, including Non-Discrimination Forms.
- Communicate care plan changes with service providers and document updates accurately.
- Enter service units and submit batch files through the Missouri Medicaid Audit and Compliance (MMAC) system.
- Review and reconcile Medicaid Remittance Advices.
- Prepare Medicaid invoices for fiscal processing.
- Handle protected health information (PHI) in compliance with HIPAA regulations.
Fiscal & Bookkeeping Support
- Perform daily bookkeeping tasks, including accounts receivable and payable entry in QuickBooks.
- Assist with coding transactions by fund source and cost allowability.
- Prepare documentation for payments and receivables.
- Upload payment detail reports for contractor access.
- Assist with A/R and A/P follow-up.
- Maintain organized, secure fiscal records.
- Assist with documentation for budgets, audits, monitoring, and required reports.
- Work with board members to collect monthly in-kind and mileage reimbursement documentation.
General Responsibilities
- Work collaboratively with the Director, Fiscal Manager, Executive Director, staff, and board members.
- Maintain accurate records to support audits and compliance.
- Perform other duties as assigned to support agency operations.
- Uphold agency policies and support the mission of NEMO AAA.
Qualifications
- 2–5 years of bookkeeping, fiscal support, or related experience.
- Experience with Medicaid billing, government programs, or nonprofit organizations preferred.
- QuickBooks experience preferred (training available).
- Experience with cost center or fund accounting strongly desired.
- Proficiency with spreadsheets and data entry required.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
Additional Requirements
- Valid driver’s license, reliable transportation, and automobile insurance as required by Missouri.
- Limited local travel required.
