JOB SUMMARY
Pope Memorial Humane Society - Cocheco Valley is seeking a highly organized and tech-savvy Administrative Assistant to support our mission of rescuing and caring for animals in need. This role plays a crucial part in donor management, social media, marketing, and administrative support across multiple departments. The ideal candidate is a detail-oriented professional who thrives in a fast-paced, mission-driven environment and has excellent communication and technology skills.
RESPONSIBILITIES
Donor Database and Record Management:
- Maintain and manage the donor database, ensuring accurate records and timely acknowledgments.
- Process donations, generate donor reports, and assist in donor stewardship activities.
- Coordinate donor correspondence, including thank-you letters, emails, and campaign updates.
- Maintain organization and filing of records, both digitally and physically.
Office Administration & Human Resources:
- Coordinate with external vendors and partners to ensure timely and accurate delivery of goods and services.
- Provide administrative support to the Management team including scheduling meetings, taking minutes and preparing reports.
- Assist with new employee onboarding, ensuring completion and proper filing of all necessary documentation.
- Coordinate with finance and accounting teams to ensure accurate budgeting, forecasting, and financial reporting in alignment with organizational goals.
- Collaborate with organization’s website host to ensure the website remains updated current events, stories, and donor recognition.
QUALIFICATIONS:
- Minimum 2 years’ experience in office and administrative work.
- A passion for animal welfare and desire to support PMHS-CV's mission.
- Outstanding written and verbal communication skills.
- Detail-oriented, with strong organizational skills and the ability to manage multiple tasks simultaneously and meet deadlines.
- A self-starter who can adapt to changing priorities and proactively solve problems.
- Microsoft Office, Canva, Adobe Creative Suite, and social media familiarity.
- Ability to work independently and as part of a team.
- Experience in nonprofit administration, donor relations, marketing, or a related field is preferred.
- Familiarity with DonorPerfect or comparable donor software is preferred.
