Summary:
The Executive Administrative Assistant provides administrative, project management and communications support in all facets of the daily business routine for the Senior Vice President, Operations & Supply Chain and executive team, while working in a fast paced, agile environment.
Key Responsibilities:
Adaptable in a dynamic, ever changing environment with the ability to work simultaneously on multiple tasks and while keeping professional composure
Handle and manager sensitive material/documentation while maintaining confidentiality
Manage calendars, schedule all internal and external meetings; coordinate internal and external customer meetings, All Hands meetings, and other meetings as needed; coordinate global travel arrangements point-to-point and associated logistics; prepare, review, and submit expense reports and mileage reports with timely submission
Maintain an overall awareness of the business activities, anticipate the needs that are associated with each meeting / event, and preempt the needs of other parties involved
Assist in prioritization of meetings, advising on potential calendar/ event/ corporate issues, and preparing all necessary documents and meeting materials
Represent executive to other senior officials both within and outside the organization in a positive and professional manner
Basic Qualifications:
Associate's degree with a minimum of 8 years of executive administrative support experience
Experience working with expense reports systems and booking travel
Prior experience supporting busy schedules for senior company leaders / C-Suite
Solid working knowledge with Microsoft Office programs (PowerPoint, Excel, Outlook, Word)
Preferred Qualifications:
Bachelor's degree and 5 or more years of executive administrative support experience
Additional Information:
Must be a U.S. Citizen. This position may require access to systems/tools that are restricted to individuals who possess US citizenship
