Description

We are searching for a proficient Office Assistant to support our daily operations. This role is located in Orlando, Florida and involves a multitude of tasks, including administrative duties, handling incoming calls, processing mail, and providing support to remote team members.

Responsibilities

  • Take responsibility for the office each morning from Monday to Friday, managing incoming calls and ensuring the majority of them are answered live.
  • Respond to voicemail messages promptly, ensuring a quick response time.
  • Update recordings for holidays and ensure accurate representation of various departments in the phone tree.
  • Monitor call volumes across different departments, noting general types of inquiries.
  • Perform various administrative support tasks on the computer, including answering questions from customers and agents, sorting, filing, and maintaining records for various departments.
  • Welcome office visitors and clients, notifying the relevant employee or department.
  • Handle mail and packages, including daily pick-ups from the post office, recording incoming packages, weighing and stamping outgoing mail, and operating mail processing machines.
  • Redirect misaddressed items, maintain a log of postage charges, receipt forms, and other necessary records.
  • Manage office supply inventory, keeping track of supplies, and ordering new ones as necessary.
  • Assist colleagues with mailings, deliveries, scheduling of meetings, and events, whether they are remote or in-office.
  • Manage general kitchen maintenance, including daily tidying and stocking of supplies.
  • Assist on various projects and other duties as assigned, ensuring compliance with any applicable statutory or regulatory obligations.


Requirements

  • Strong knowledge of Microsoft Office is necessary.
  • Proficiency in Customer Relationship Management (CRM) software is expected.
  • Familiarity with the About Time software system is beneficial.
  • Ability to effectively use the Answer software.
  • Experience in Answering Inbound Calls is crucial.
  • Knowledge of Billing Functions is required.
  • Must be able to perform Clerical Duties efficiently
