Duties & Responsibilities
MAJOR DUTIES
- Manages, produces, and maintains outgoing SJC Transcripts. Management includes implementation and testing of software used for transcript orders.
- Management and production of Enrollment Verifications.
- Contact for Clearinghouse issues with enrollment and degree verifications.
- Answers telephone and greets visitors; provides information and assistance; directs students to proper classrooms; refers to appropriate personnel.
- Processes student information and updates forms.
- Processes grade changes.
- Assists students in registering for classes.
- Prepares enrollment rosters.
- Gathers and enters grades.
- Resolves issues with student records.
- Scans documents into the document management system.
- Processes and manages all School of Energy and Fire third party registrations.
- Processes and manages all Dual-Credit registrations.
- Processes high school transcripts for continuing students. Evaluates and enters course placement information based on the high school transcript.
- Backup for processing of all emails sent to the Records Email Box.
- Performs related duties.

- Knowledge of college policies and procedures.

SUPERVISORY CONTROLS
The Registrar assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

Guidelines include Family Education Rights and Privacy Act regulations and college policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of related technical duties. Strict regulations contribute to the complexity of the position.
- The purpose of this position is to perform technical duties to assist with the college’s student admissions, registration, and records management processes. Success in this position contributes to the efficiency and effectiveness of those processes.

Contacts are typically with co-workers, other college personnel, faculty, staff, students, potential students, representatives of other institutions, and members of the general public.
- Contacts are typically to give or exchange information, to resolve problems, or to provide services.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
- The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.
- The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
Qualifications
MINIMUM QUALIFICATIONS
- Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.
