Position Summary
The Assistant Facilities Manager provides leadership and operational support for the daily management of all SBS facilities, ensuring they remain safe, compliant, efficient, and aligned with the company’s operational and regulatory requirements.
This position will oversee maintenance activities, supervise facility technicians, manage vendor relationships, and support strategic projects in coordination with the Facilities Manager and senior leadership. The Assistant Facilities Manager will also assist with security and access systems, emergency response planning, and GMP/GxP-aligned facility operations.
This role requires a hands-on leader who can manage staff and contractors, monitor building systems, respond to facility issues, and contribute to long-term facilities planning, reflecting SBS RICE values: Respect, Integrity, Customer-Centered and Excellence.
Key Responsibilities
- Lead, mentor, and schedule facilities staff and contractors to ensure high performance and accountability.
- Serve as a working lead, providing hands-on support with maintenance, troubleshooting, and inspections.
- Support the Facilities Manager in delegating tasks, monitoring progress, and maintaining operational readiness.
- Monitor and oversee building systems, including HVAC, electrical, plumbing, fire/life safety, and access control systems.
- Assist with GMP/GxP facility compliance by ensuring facility operations meet pharmaceutical and regulated standards.
- Conduct routine inspections, preventive maintenance, and safety checks to proactively identify and address issues.
- Maintain documentation for permits, inspections, warranties, and preventive maintenance programs.
- Coordinate and oversee external vendors for maintenance, janitorial, security, and capital projects.
- Monitor vendor performance and ensure adherence to SBS standards, contracts, and budgets.
- Assist with small facility projects, renovations, and capital improvements, including planning and reporting.
- Monitor security cameras and access systems; manage badge creation and access control for staff and contractors.
- Serve as a first responder to facility-related incidents and emergencies.
- Support the emergency response and business continuity plans, including safety drills and readiness protocols.
- Assist with budget tracking, vendor invoicing, and purchase requisitions.
- Maintain accurate facility records, reports, and logs for compliance and management reporting.
- Partner with senior leadership to provide operational updates and improvement recommendations.
Required Qualifications
- Associate’s degree in Facilities Management, Engineering, or a related field.
- In lieu of a degree, 7 years of progressively responsible facilities experience with 3 years in a supervisory role will be considered.
- Hands-on experience in facility maintenance and operations, including HVAC, plumbing, and electrical systems.
- Proven leadership experience managing facilities staff and contractors.
- Experience with GMP/GxP or regulated environments is highly preferred.
- Strong vendor management and project coordination skills.
- Proficiency with Microsoft Office; experience with CMMS or building management systems a plus.
- Ability to respond to after-hours facility emergencies as needed.
Preferred Qualifications
- CFM (Certified Facility Manager), FMP (Facility Management Professional), or equivalent certifications.
- Familiarity with pharmaceutical, laboratory, or GMP-compliant facilities.
- Experience with security/access control systems and emergency response planning.
Physical and Environmental Requirements
- Ability to stand, walk, bend, and lift up to 50 pounds as needed.
- Exposure to mechanical equipment, varying noise levels, and indoor/outdoor conditions.
- Must be able to access all areas of the facility, including restricted or elevated spaces.
