Key Responsibilities:
Accounting & Payroll
- Maintain accurate financial records, including general ledger entries, bank reconciliations, and accounts payable/receivable.
- Prepare and process bi-weekly payroll, ensuring timely submission and compliance with applicable laws and benefits.
- Monitor timekeeping reports and coordinate with department managers for approvals and corrections.
- Support monthly and year-end financial reports and audits.
- Manage vendor payments and handle year-end tax documentation (W-9s, 1099s).
Member Services & Communications
- Serve as a primary point of contact for member account inquiries, billing, and general assistance.
- Generate and distribute monthly member statements and apply payments.
- Assist with onboarding new members and maintaining accurate membership databases.
- Produce engaging club announcements, flyers, and digital/printed materials for events and general updates.
- Create and maintain monthly club calendars and event schedules for distribution via email, print, and web platforms.
- Collaborate with department heads to ensure timely and consistent communication across the Club.
Qualifications:
- 2 years of experience in accounting, payroll, and administrative support (experience in a private club or hospitality setting preferred).
- Proficiency with Quick Books, Excel, and payroll systems (e.g., ADP, Paychex).
- Familiarity with POS systems and member management software is a plus.
- Skilled in Microsoft Publisher, Canva, or other basic design tools for flyers and calendars.
- Strong written communication and layout/design skills.
- Excellent organizational abilities and high attention to detail.
- Ability to maintain confidentiality and professionalism in all interactions.
