The Financial Control Division within the Department of Finance and Administration is the state's financial oversight body.
Why does the job exist?
This position, within the Financial Control Division, performs paraprofessional accounting work in maintenance, review and entry of supplier records to ensure compliance with accepted accounting principles and standards. The primary purpose of this position is to process W-9 forms, prevent fraud, and offer customer service to other State Agencies through guidance and assistance with vendor transactions in PeopleSoft (SHARE).

Minimum Qualification
High School or Equivalency and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.
Employment Requirements
State issued ID or Driver's License.
Pre-employment criminal background check is required, and employment is conditional pending results.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.

How does it get done?
- Independently maintain the Supplier Record in PeopleSoft (SHARE). Ensure all supplier requests are entered into SHARE within 24 hrs of being assigned.
- Verify the W-9 information provided is complete, correct, and entered accurately according to the W-9 while ensuring duplication of records is avoided.
- Confirm that all Supplier 1099s are flagged appropriately in SHARE so that the annual 1099's contain accurate information.
- Verify and enter ACH/direct deposit account numbers into SHARE accurately.
- Provide assistance to agencies regarding business processes and assist with training for agency Point of Contact to ensure business efficiency and entry of Suppliers into SHARE is successful.
