OIC CAREER OPPORTUNITY

The Office of the Insurance Commissioner (OIC) Office Support Unit is seeking a motivated and qualified individual to fill an Office Assistant 3 position. This position is assigned to the Operations Division, located in our Tumwater office.

This position staffs the front desk and will not be eligible for scheduled, recurring telework.

As a face of the agency and resource for your colleagues, you'll be greeting, welcoming, and directing staff and visitors as well as providing a variety of complex clerical assistance and support. Being able to work independently and simultaneously on competing tasks despite constant interruptions is necessary for this position. This is a Washington General Service position. The annual salary range for this position is $2,940 - $3,883.

Duties

  • Greet and assist customers in person and on the main reception phone, directing inquiries to the appropriate program or person.
  • Maintain lobby security by ensuring staff and visitors are properly received and given appropriate access and badges.
  • Act as point of contact for lost and found articles, reserving and checking out agency vehicles, and locating and reserving agency conference rooms.
  • Assist and direct vendors and contractors who are providing a service to the building.
  • Accept deliveries made to the reception desk by UPS, FedEx and legal messenger including accepting legal process on behalf of the agency and insurers.
  • Manage business unit calendars and email boxes; respond to inquiries.
  • Process Service of Legal Process (SOP) and Insurance Fair Conduct Act (IFCA) submissions.
  • Serve as liaison and subject matter expert for SOP and IFCA inquiries.
  • Provide clerical assistance to staff including formatting and proofreading documents, compiling meeting and training materials, sorting, printing, scanning, data entry, etc.
  • Process incoming and outgoing agency mail including managing and discontinuing junk mail.
  • Assist staff with mailing inquiries and needs.
  • Inventory, process and organize agency office supplies and rooms.
  • Prepare and submit supply purchase requests.

Qualifications

Required Qualifications:


  • High school degree or GED.
  • Two (2) years' clerical and customer service experience. (Clerical and customer service experience includes duties such as answering multi line telephones, greeting customers, taking orders or responding to questions, providing resolution to issues, filing, keeping records, data entry, processing mail, inventorying supplies, checking emails, typing and/or managing schedules or calendars, in a office setting.) An Associate's degree or higher may substitute for one year of clerical/customer service experience.
  • Ability to type/input 40 words or more per minute.
  • Ability to relocate objects weighing approximately 35 lbs.
  • Basic skill level in Microsoft Word, Excel, and Outlook.
Preferred/Desired Qualifications of this position include:
  • Additional years’ experience in reception and/or in-person customer service contact.
  • Experience providing assistance and resolution to customers regarding inquiries, complaints, or problems in a helpful and professional manner in person, on the phone, and in writing.
  • Experience using a multi-line telephone system.
  • Experience performing mailroom functions such as opening, sorting, and delivering mail.
  • Intermediate to Expert user of Microsoft products (Word, Excel, and Outlook).
