Gemini Energy Services, A Tetra Tech Division is seeking an efficient and hard-working person with a positive attitude to join our dynamic and fast-paced Wind Energy team. We set the bar high for our fiscal goals, using contemporary tools and communication for effective procedure. This helps to ensure the success, safety and integrity of our company and employees.
Our Office Manager / Administrative Assistant fills a key role in our accounting department, reporting to our Project Director. We are looking for a yes-person, able to handle high volumes of paperwork and data, both physical and online. Attention to detail and accuracy are prized traits for this position, as well as a willingness to adapt to evolving needs in the company. A “no task is too small” attitude is a must.
Administrative Tasks
- Reconciling Invoices for Accounts Payable, employee out-of-pocket reimbursements and corporate expense accounts
- Payroll management for 100 employees, checking accuracy of time reported and retrieving data from our online payroll system
- Spreadsheet creation and maintenance to organize our many accounts, invoices, receipts, clients, vendors and other company data in cloud storage
- New hire and Termination processes for wind technicians
- Human Resource paperwork and policy updates
- Mail, FedEx and general office orders
- Assistance with tasks from other team members. Note: These tasks may fall outside of the “job description”. Being able to adapt to new requests is a valued characteristic.
- Communication with all staff about company updates, HR policies and internal policy requirements
- Management of online systems and passwords, adding and removing employees from digital spaces
- Liaison between staff and Human Resources department, policies and changes to internal requirements of staff
Requirements:
- PC proficient/Microsoft Office: Excel, Word, Outlook, PowerPoint
- Attention to detail/perfectionist with billing, invoicing and collection
- Administrative speaking and writing skills
- Problem solver/researching before asking questions
- Minimum of a High School Diploma
- The ability to create professional business documents (letters, reports, memoranda, etc.) with little to no oversight or editing
- Pro-active manner towards corporate and client needs
- Must pass a company drug screen and background check
- Must adhere to the policies presented in the corporate Employee Handbook
Technical Tools - Willing to learn and master the following:
Slack, Trello, Microsoft Office: Teams, Excel, Word, Outlook, PowerPoint, Office 365, PC Recruiter, Zendesk (HR), Dropbox, Oracle E-Business suite software, GoFormz, iPhone IOS software and business apps
