About the Role
We are seeking a professional and customer‑focused Patient Services Representative to join our Fort Worth clinic. In this role, you will be the first point of contact for patients, delivering exceptional service while supporting front desk operations, appointment scheduling, and administrative tasks. You will work closely with clinical and operational teams to ensure smooth daily workflow and a positive patient experience.
Key Responsibilities
1. Patient Check‑In
- Greet patients and visitors in a friendly, professional manner.
- Verify patient demographics, insurance, and eligibility information.
- Collect co‑pays and ensure necessary forms and authorizations are completed.
- Update and maintain accurate patient records in the EMR.
2. Patient Check‑Out
- Schedule follow‑up appointments, referrals, and lab or imaging visits.
- Provide patients with visit summaries, educational materials, and instructions.
- Ensure billing details are completed before closing out the encounter.
3. Phone & Customer Service Support
- Answer incoming calls promptly and courteously.
- Assist with scheduling, cancellations, and general patient inquiries.
- Route calls to appropriate departments or clinical staff.
- Manage voicemail and return patient calls in a timely manner.
4. Front Office Administration
- Maintain an organized, clean, and welcoming reception area.
- Manage patient flow and communicate with clinical staff to keep schedules on track.
- Process incoming documentation, faxes, and messages.
- Handle daily administrative tasks to support smooth clinic operations.
5. Compliance & Safety
- Follow HIPAA guidelines and always protect patient confidentiality.
- Comply with clinic policies, quality standards, and operational procedures.
- Complete required Well Med screenings and stay current with safety training.
Required Qualifications
- High school diploma or equivalent.
- Experience in a healthcare front desk, customer service, or administrative role.
- Strong communication skills (verbal, written, and customer interaction).
- Ability to multitask in a fast‑paced clinical environment.
- Proficiency in scheduling systems and EMR platforms (or willingness to learn).
Preferred Skills (Nice to Have)
- Experience in a medical clinic, hospital, wellness center, or patient‑facing role.
- Familiarity with insurance verification or prior authorization workflows.
- Strong organizational skills with attention to detail.
