Job Description
The School of Medicine is pleased to announce the recruitment of a Human Resources Specialist III/Recruitment Coordinator. This position provides administrative support to the SOM Recruitment Team and reports to the Director of Recruitment.
Responsibilities:
1. End-to-End Recruitment Support:
- Manage end-to-end recruitment processes for various initiatives, cultivating relationships with potential hires.
- Organize recruitment events, including campus and city tours, interviews, and interactions with faculty members and leaders.
2. Candidate Travel and Itinerary Management:
- Coordinate all aspects of candidate travel and itinerary to ensure a seamless and memorable visit.
- Collaborate with key stakeholders to identify individuals for candidate meetings.
3. Interview Coordination and Scheduling:
- Coordinate interviews for candidates, working closely with Recruiters and hiring managers.
- Schedule interviews and ensure timely communication with candidates and interviewers.
4. Data Management and Reporting:
- Enter candidates into the Applicant Tracking System (eRecruit) and Candidate Relationship Management (Jazz HR) platforms.
- Opts out candidates from all platforms used to communicate with candidates.
- Prepare and manage tracking spreadsheets on candidates.
- Generate regular evaluations for candidate visits and distribute them to interviewers.
5. Sourcing and Recruitment Strategy:
- Work closely with Recruiters to understand staffing needs and develop effective sourcing/recruitment strategies on hard-to-fill opportunities.
- Create and maintain sourcing tracking/plans for various specialties and subspecialties as needed on hard-to-fill opportunities.
6. Event Coordination:
- Organize receptions and events related to recruitment.
- Assists in the coordination of career fairs and networking events.
- Purchase promotional items for the recruitment team and others within the Dean’s office.
7. Financial Management:
- Manage financial aspects, including paying invoices for the department.
- Handle reimbursements for interviewees.
8. Communication and Collaboration:
- Actively participate in weekly meetings with the recruitment team and committees.
- Effectively communicate with candidates, departments/divisions, and internal stakeholders.
9. Administrative Tasks:
- P-Card reconciliation
- Schedules meetings & training as needed for recruiters and director of recruitment.
- Assists the recruitment team with organization, special projects, documentation, presentations, and tracking.
- Posts physician opportunities on job boards, associations, etc.; records the total number of views and applicants and provides recommendations to departments/divisions for renewals, etc.
- Performs other job-related duties as assigned.

Minimum Qualifications
A bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
- Proven experience in recruitment coordination, preferably in an academic or healthcare setting.
- Familiarity with medical and academic terminology is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficient in using recruitment software and Microsoft Office Suite.
Anticipated Hiring Range
Salary Range:$20.66 - $38.16 hourly
GGS Grade: GGS-009
