General Role Description

This is a full-time on-site role, located in Broken Arrow, OK, for a Bilingual Accounts Payable Clerk / Administrative Assistant. The successful candidate will be responsible for handling accounts payable tasks including invoicing, processing payments, and reconciling accounts. Additional responsibilities include providing general administrative support, maintaining communication with vendors and internal teams, and greeting/directing guests.


Detailed Responsibilities

  • Provide office support to ensure efficiency and effectiveness within Wiljo Interiors
  • Write and distribute emails
  • Keep reception desk clean and organized
  • Clean & stock kitchen daily (empty and rinse coffee pots, turn off coffee maker)
  • Refill paper in copier machines
  • Refill timesheets and other forms on Foreman Form Wall
  • Pick up / sort incoming mail and prepare outgoing mail
  • Keep an ongoing supply list - orders to be placed by others.
  • Complete office errands; post office, Sam's, FedEx, etc.
  • Process invoices for payment, this includes data entry into ComputerEase and QuickBooks and distributing them for approval.

Job Location : Broken Arrow, OK 74012

Work Schedule : Monday-Friday ; 8:00 am - 5:00 pm with lunch from 12:30 pm to 1:30 pm

Absences policy : Call in absences by 6:30 am


Starting Salary

$29,000 to $35,000/year (based on experience)

Qualifications

  • Finance, Accounting, and Invoicing skills
  • Experience with Accounting Software
  • Strong Communication skills
  • Bilingual proficiency in English and Spanish
  • Excellent organizational and time-management skills
  • Ability to work independently and on-site in Broken Arrow, OK
  • Previous experience in a similar role is an advantage
  • High school diploma or equivalent qualification is required; further education in finance or business administration is a plus

Salary : $29,000 - $35,000
