This is a full-time, in-office position (Monday–Friday, 9:00am–5:00pm).
Role Overview
This Executive Operations Manager will serve as a trusted extension of the executive, managing information flow, logistics, and operational follow-through across multiple entities. This is not a traditional administrative role. It requires sound judgment, discretion, and the ability to anticipate needs in a dynamic environment.

Key Responsibilities
Executive Support & Information Management
• Manage and prioritize a high-volume email inbox
• Draft correspondence and manage follow-ups
• Prepare briefing materials for meetings and calls
Calendar, Meetings & Travel
• Own calendar management and scheduling
• Coordinate meetings across internal and external stakeholders
• Manage all travel logistics and itineraries
Task & Project Tracking
• Maintain a master task and project tracker
• Track deadlines, deliverables, and action items
• Proactively follow up to ensure progress and completion
Business & Personal Administration
• Coordinate bill pay, document organization, and digital filing
• Route legal, financial, and operational documents appropriately
• Handle forms, contracts, waivers, and administrative paperwork
Cross-Entity Coordination
• Support multiple business lines with scheduling, coordination, and follow-through
• Serve as a point of contact between the executive and internal teams
Office Presence
• Maintain a consistent in-office presence Monday–Friday, 9–5
• Help uphold a professional, organized office environment

Experience & Skills
• 3–7 years supporting senior executives or founders
• Strong experience with calendars, email management, and travel coordination
• Proficiency with Google Workspace and Microsoft Office
• Ability to quickly learn tools such as task trackers, bill pay platforms, and CRM systems
