What are the responsibilities and job description for the Administrative Assistant position at Ecolab?
The Administrative Assistant will provide general administrative duties and support for the Product & Division Services (P&DS) team as well as department leadership. Compiles and analyzes basic information for inclusion in reports, presentation materials, preparing decks, reports, graphs and tables as necessary. The Administrative assistant role is to provide support that will enable the P&DS to be more productive, efficient, and organized.
What You Will Do:
- Run and review budget reports including approving expense reporting to ensure that ensure all expenses are within company and department policy.
- Reviews monthly budget expense to ensure that there are no anomalies to trends or expenses that should not be in our budget.
- Track and report key department metrics for the department
- Coordination of standard and special meetings – deck, speakers and general meeting set up
- Maintains global & regional contact list of P&DS team, Business and other functions
- Interview Sales reps who reported low satisfaction from Technical Support to ensure can take appropriate action
- Manages office supplies, requests and office moves
- Manages one-off requests for support of P&DS team
- Provide support as needed for Vice President of Enterprise Programs and Vice President of P&DS
Minimum Qualifications:
- High School Education
- 3 years professional administrative support experience
- Proficiency working with Microsoft Office – PowerPoint, Excel, Word and Sharepoint
- Comfortable learning new software for purposes of accessing and manipulating data for presentation in graphs, tables and power point presentations
Preferred Qualifications:
- Bachelor’s Degree completed or in progress
- Attention to detail
- Experience programming with Power BI or ability to learn
- Experience using Service Now call center ticket tracking system
- Experience with SAP
