Summary of Responsibilities for Front Desk/Receptionist (KPT Zachary)
Key Holder – Responsible for Opening or Closing Office and being prepared for the arrival of patients (lights on, logged into schedule, coffee made, voicemail/answering machine checked, etc.).
Answer Multi Line Phone System - Communicate professionally and effectively with patients, referral sources, vendors, other – great phone skills are “a must”!
Check Fax Machine and Front Desk E-mail for incoming Referrals/Appointment Requests, Check Scheduling System for any automated/text cancellation notifications
Greet and Schedule and “check in” New and Current/Active Patients (We use a Cloud Based Scheduling/EMR System by Systems4PT).
Collect Patient Payments (applicable copayments and/or deductible/co-insurance estimates)
Balance Change/Petty Cash Daily
New Patient Intake and data entry (medical history, patient demographics, insurance/payer information.)
Scanning – registration forms, referrals, signed plans of care, home exercise programs, etc. are scanned into the electronic medical record.
Maintain applicable logs (call to schedule log, payment log, referral log, new patient log, etc.).
Cross train to assist Office Manager in appropriately handling incoming and outgoing calls from “leads” (potential patients) generated through a strategic marketing/advertising system.
Required Skills/Attributes for Success in This Position:
Basic computer skills to proficiently accomplish the above tasks (we supply on the job training for the specific software we use for scheduling and medical records). Proficiency in Microsoft Office (Word, Excel, Outlook) is helpful.
Previous experience in an outpatient physical therapy clinic is helpful.

- Our clinic hours are 7:00AM to 6:00PM Monday through Thursday and 7:00AM to 12:30PM on Friday. We are closed on Friday afternoons. We are hiring 2 Receptionists, one to work the 7:00 AM to 12:30 PM Shift and the other to work the 12:30 PM to 6:00 PM Shift. The morning Receptionist is responsible for opening the clinic at 7:00 AM and the afternoon receptionist is responsible for closing the clinic at 6:00 PM. On occasion (when one of the receptionists is out) you may be requested to work both shifts (with an hour lunch break).
