JOB DESCRIPTION SUMMARY
Under direct supervision, this entry level position performs a variety of clerical functions involved in the processing of court cases. Activities include: typing, filing, operating computer terminals, posting data, collecting and receipting monies, scheduling appointments, serving as receptionist. taking and transcribing dictation, providing general information and responding to routine inquires. Also answers telephone and provides basic case status information, disposition and general court policy and procedure within prescribed authority limits.
SUPERVISION RECEIVED: Works under the supervision of the Court Administrator.
SUPERVISION EXERCISED: None.
TYPICAL EXAMPLES OF WORK: An employee in this class may be called upon to do any or all of the following: (These examples do not include all of the tasks which an employee may be expected to perform).
Performs receptionist tasks of answering and routing telephone calls, greeting visitors, taking messages, providing general information and maintaining appointment registers and records of scheduled appointments.
Responds to routine inquiries, directing calls to appropriate source.
Provides basic information to law enforcement agencies, defendants, attorneys and court patrons regarding case status, disposition and general court policy and procedure.
Types a variety of materials from straight copy or basic information extracted from other documents. Includes: forms, notices, discharges, bench warrants, correspondence, files, terms jackets and other documents.
Files forms, records and reports and other materials following established filing system.
Includes notarizing affidavits as authorized and required.
Enters case information on file jackets and index cards.
Retrieves file information and conducts file searches.
May perform specialized functions such as: typing witness subpoenas, calculating witness mileage, fees, preparing abstracts and suspensions as instructed forwarding to the Secretary of State.
Regularly accepts and receipts monies.
Operates computerized cash register, receiving and recording payments made in person or by mail for fines, costs and fees.
Performs a variety of other general clerical tasks such as assisting with mailings, opening and distributing mail, requisitioning supplies and printed matter, making copies and related activities.
Operates computer terminal to enter, locate, check, retrieve or verify information.
May substitute for other clerical personnel as required.
Perform related duties as required.
DESIRABLE EDUCATION, EXPERIENCE and/or QUALIFICATIONS: An employee in this class, upon appointment, should have the equivalent of the following training and experience.
Ability to qualify as a notary and type required by the court.
High school education or its equivalent.
Three to six months experience is required.
