Position Summary: The Office Support Coordinator (PSAL) coordinates the acquisition of equipment, services, supplies, and materials for PSAL school communities and office needs. The Office Support Coordinator provides high-end customer service support to the PSAL office and the New York City Public Schools (NYCPS) community. In addition, the Coordinator supports the implementation of PSAL sports events, championships, and related projects. Performs related work.

Key Relationships: Works closely with Director of Procurement and Human Resources, Office and Operations Manager, PSAL staff including school Athletic Trainings, Coaches and PSAL community at large, NYCPS’ central offices, vendors, and others as assigned.

Responsibilities
- Collect and prepare information from the community to secure high-quality, cost-effective goods and services for PSAL programs, including uniforms, awards, transportation, and office supplies.
- Coordinate functions among community organizations leading toward successful rollouts of community-based sports programs and events to benefit NYC residents at large.
- Support the Senior Executive Director and leadership cabinet with administrative tasks and responsibilities.
- Assist in developing and executing strategic initiatives and overseeing PSAL interscholastic sport programs.
- Provide cross-functional support across departments to advance organizational goals and operations.
- Ensure clear, consistent communication with internal and external stakeholders, including coaches, athletic directors, commissioners, supervisors, and principals, aligned with NYCPS and PSAL standards.
- Collaborate with the Sports Information Director to create content for social media and related platforms.
- Coordinate the vendor onboarding process, ensuring completion of documentation and accurate record-keeping.
- Ensure compliance with NYCPS Standard Operating Procedures and purchasing thresholds; liaise with NYCPS offices on procurement policies and contract management.
- Prepare, monitor, and certify purchase orders using the Financial Accounting Management Information System (FAMIS) and other tracking systems; ensure sufficient funds are encumbered and initiate timely vendor payments.
- Maintain databases in Microsoft Office 365 to track open purchase orders, account balances, TRAC, and related data.
- Receive, inspect, and verify orders; communicate order status to requesters and maintain organized inventory storage and labeling.
- Maintain accurate documentation to support PSAL certifications and ensure timely follow-up.
- Provide technical and operational support to PSAL staff related to awards, uniforms, travel, and transportation.
- Conduct vendor performance evaluations and support compliance through coordination with DCP and vendor services.
- Support contract initiation, vendor communication, drafting, inspections, and policy implementation.
- Support PSAL Sports Coordinators with event setup, admissions, and logistics.
Minimum
- A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
- High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
- Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.
In addition to meeting the minimum requirements, individuals must have two additional years of the experience described in "1" above.
Preferred
- Knowledge and understanding of the PSAL.
- Knowledge of public education and/or interest in public education.
- Familiarity with NYCPS financial systems.
- Background in working with community-based organizations, vendors and suppliers.
