Clinical Office Administrator
We are seeking a reliable and detail-oriented
Clinical Office Administrator to join our counseling team. This vital role ensures the smooth operation of our clinical office by managing administrative tasks, facilitating key procedures such as billing with knowledge of mental health CPT codes and medical insurance policies, and maintaining the highest level of confidentiality. Tasks include maintaining schedules, communication, billing, and office records and supplies. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The clinical office administrator ensures the smooth running of our company’s offices and contributes to driving sustainable growth.
Responsibilities
- Support daily administrative operations to ensure efficiency and compliance with company policies. Follow office workflow procedures to ensure maximum efficiency
- Greet and assist visitors
- Incoming and outgoing phone calls and correspondence
- Manage
schedules/appointments.
- Create and update records and databases with client, financial and other data
- Manage billing process and maintain files and records with effective filing systems
- Responsible for office supplies inventory and orders
- Submit timely reports and prepare presentations/proposals as assigned
- Assist colleagues whenever necessary
- Monitor office expenditures and handle office contracts when needed
- Support budgeting and bookkeeping procedures
- Assist in vendor relationship management
Requirements
- High school diploma; AS, BSc/BA in office administration,
medical office or relevant field is preferred
- 2 or more years' experience
in a clinical/medical office setting
- Strong understanding of mental health cpt codes and medical insurance policies
- Experience in customer service will be a plus
- Proven confidentiality in all aspects of the position
- Outstanding verbal and written communication and interpersonal skills
- Excellent organizational and multitasking skills
- Familiarity with office management procedures
- Proficient in MS Office and office management software, and office equipment
- High level of patience and professionalism
Salary : $40,000 - $45,000
