Position Summary:
We are seeking a detail-oriented and motivated Administrative Assistant to support our office operations. The ideal candidate will be organized, proactive, and capable of handling a wide range of administrative tasks with professionalism.
Key Responsibilities:
- Perform general clerical duties including answering phones, filing, correspondence, and mail handling
- Support all departments with administrative needs
- Maintain and order office supply inventory
- Coordinate with vendors and manage shipping/mailing procedures
- Operate and troubleshoot standard office equipment (copiers, fax, phone systems, etc.)
- Assist with AP and job cost entries (Sage software experience is a plus)
- Communicate effectively with team members, clients, and vendors
- Prioritize tasks and meet deadlines while keeping others informed of progress
- Maintain a professional and courteous demeanor at all times
Qualifications:
- Minimum 3 years of administrative experience
- Excellent written and verbal communication skills
- Strong working knowledge of Microsoft Word, Excel, and Outlook
- Experience with accounting software (Sage preferred) is a plus
- Bilingual in English and Spanish is a plus
- Familiarity with construction terminology is a plus
- Ability to work independently and collaboratively in a fast-paced environment
- Strong organizational skills and attention to detail
- Professional references required
