The Opportunity:The Financial Services Program provides centralized budget, accounting, payroll, and benefits to support the agency and program operations. Financial Services works to ensure budget and accounting operations are completed in compliance with state and federal guidelines as well as agency policies and procedures.
As an Office Assistant 3, you will provide clerical support to program managers and staff working within the Financial Services Program. This position provides a wide variety of office administrative duties which include, responding to inquires via email and phone, scheduling meetings and trainings, processing and distributing program mail, greeting and assisting customers, and maintaining and auditing an electronic filing system. This position reports directly to the Accounts Payable Manager.

- This position is office-based located in downtown Olympia, Washington.
- Work schedule: Monday-Friday, 7:30am - 4:00pm.
- This position is non-represented.
Duties
What to Expect
Some of the various responsibilities within this role:
- Monitors Accounts Payable shared inbox.
- Converts emails to PDFs, downloads vendor invoices, and scans hardcopy documents into electronic format.

Requests approvals for payment from WSDA admin services and programs while
obtaining proper expenditure accounting codes. - Follows manual and electronic filing systems and database file rules and policies.
- Receives, sorts, opens, endorses, date stamps and delivers mail.
- Accepts cash'/checks from vendors for products. Provides receipts, stamps, and lists checks received on Reception Manifest for Accounts Receivable.
- Provides coverage for agency receptionist's breaks and/or in the event that the agency receptionist is out of the office.
- Schedules in-person and virtual meetings using Teams, trainings, interviews, etc., using an electronic calendar.
- Acts as agency Employee Transportation/Administrator as it relates to the Commute Trip Reduction Program (CTR).
Qualifications
Who should apply?
Professionals with:
High School Diploma or Equivalent AND Two (2) years of clerical experience.
Formal education will substitute year for year for experience.
