Bilingual RFI/RFP & Project Documentation Specialist (Junior Project Management Profile)
Location: Sweetwater, Miami, FL (Must be locally based)
Employment Type: Direct Hire
Salary Range: $65,000–$70,000 (DOE)
Work Model: Onsite initially, hybrid after 60 days
About the Role
We are seeking a Junior Project Management–oriented professional to support RFI/RFP responses and project documentation for a global organization operating in a regulated Life Sciences and logistics environment.
This is a newly created role, ideal for an early-career candidate who is looking to build foundational experience in project coordination, documentation, and cross-functional collaboration. The position is execution-focused and not intended for senior or managerial-level professionals.
Key Responsibilities
- Support the preparation and coordination of RFI responses, client questionnaires, and compliance documentation
- Collect and organize information from internal teams (Operations, Quality, Legal, Compliance)
- Track timelines, action items, and deliverables related to submissions
- Assist in organizing documentation for audits, certifications, and due diligence
- Maintain document repositories, templates, and version control
- Support process development as the RFI/RFP function continues to be established
- Communicate clearly with internal stakeholders to ensure timely and accurate inputs
Ideal Candidate Profile
- Early-career (0–3 years of experience)
- Background in Project Management, Engineering, Operations, Logistics, or similar fields
- Comfortable working with documentation, templates, and structured processes
- Exposure to regulated or operational environments (life sciences, logistics, healthcare, aviation, manufacturing, etc.) is a plus
- Strong organizational skills and attention to detail
- Bilingual English/Spanish required
- Must be currently located in the Miami area and able to attend onsite work
Qualifications
- Bachelor’s degree in Engineering, Business, Project Management, Operations, Logistics, or related field
- Internship or junior-level experience in project coordination, documentation, or operations
- Proficiency with Microsoft Office (Excel, Word, PowerPoint)
- Strong written and verbal communication skills
